GRappy To-do · To-do lists
Version 0.3.0 · 13 October 2026. The Android app and web version use the same task screens.
What's new
- Open User setup to save your phone view and Small, Medium or Large list size for your account. Cards use one size and show all details. Tap an item for compact editing controls. You can also save the current list and day filters from User setup.
- Multiple to-do lists replace the Type and Category controls. Existing tasks stay available in to-do lists named after their former categories.
- To-do list management lets you create, name and share lists. Private lists stay on your device; shared lists belong to your workspace and can include everyone or selected members.
- Mobile items expand with one tap. Edit the name, comment, to-do list, assignee, date and time, then use Close to collapse the item.
- The desktop table uses the available width. Filter, vertical priority arrows and Search sit above it. The short headings # and Done save space.
- Offline changes are stored on this device. Workspace changes sync when connection and sign-in are available. Conflicting edits are retained for review.
- Overdue alerts appear across open CRM pages. Acknowledging an alert does not complete or clear the task.
- Remembered sign-in is restricted to To-do. Other CRM pages retain their normal sign-in requirements.
Install on iPhone
- Open To-do in Safari. For your existing workspace, sign in first; for device-only lists choose Start a private to-do list.
- From the To-do screen, open Safari's Share menu and choose Add to Home Screen. Turn on Open as Web App if offered, then tap Add.
- Open the new GRappy To-do icon. Sign in again if asked, and load your lists while online before using them offline.
Private lists stay in the browser or app installation where they were created; they do not automatically transfer from Safari to the Home Screen app. Create new private lists from the Home Screen icon. Workspace lists sync after sign-in and connection. Reminders appear while the app is open.
Quick instructions
- Install the updated Android app, or open To-do in your browser. Sign in and complete any required temporary-password change.
- While connected, open To-do once and wait for the saved/sync status. This prepares offline use in that app or browser.
- Open To-do list management at the bottom. Add a private to-do list, or choose a workspace sharing option if you have workspace membership.
- Use + Add item. Choose its to-do list and assignee, enter the item, and Save.
- On mobile, tap an item to expand it. Inline changes save when you finish changing a field. Close returns to the compact list. On desktop, double-click a row for its full form; Save commits the form.
- Use ⇈ ↑ ↓ ⇊ to move the selected item to the top, up, down or bottom of its current priority group.
- Use Overdue in the header to review all accessible overdue items, then select one to open its to-do list.
User manual
To-do lists and privacy
New users can choose “Start a private to-do list on this device” from the sign-in screen. This creates no server account or workspace membership. Existing users sign in to load their existing lists. Administrators creating a new workspace now see Personal selected by default.
Private to-do lists are available only to their owner on this device. A personal account does not sync task changes to the server. A workspace to-do list can be shared with the whole workspace or selected members. Only the owner can change sharing. Imported to-do lists can be managed by the workspace administrator. Changing sharing can require a connection.
Existing Work/Private values and original imported fields remain stored for compatibility. New screens use to-do list names. A new private to-do list does not grant workspace membership. Workspace invitations and membership applications remain administrator-managed.
Offline work and syncing
The task list, edits, completion, dates and priorities work offline after the first online load. Offline data belongs to the current account and this browser/app installation. Another browser or device has its own private copy. Clearing browser/app storage or uninstalling can remove device-only information.
Workspace changes wait in a local queue and sync after reconnecting. The status line shows pending changes. If another device changed the same item, choose Review sync. Your edit remains available; choosing the server version preserves your edit in a private “Saved conflicting edits” to-do list. The server never silently overwrites a conflict.
Repeat schedule management and workspace sharing settings require a connection. Already-loaded repeat occurrences can be edited offline; new occurrences are generated by the server and arrive at the next sync.
Signing in
After successful sign-in, this device remembers To-do access for up to one year, renewed when used online. Signing out, a password change/reset, account deactivation, clearing cookies, or the remembered login expiring can require signing in again. Full CRM access still expires under its existing session policy.
Filters, dates and completion
Filter contains the viewing person, to-do list, day, Completed, Back burner and Show all repeat items. Search looks in names and comments. # is the displayed priority. Done completes an item; Undo completion restores the last completion made in this view.
Times use Jerusalem time. D marks an absolute deadline: yellow within one hour, red when due. A date-only deadline becomes overdue at the start of the following day. Wait keeps an item in Today below active Today tasks; Q marks a quick task. Existing grouping and repeat rules remain in effect.
Overdue reminders
Alerts appear while the app or a CRM page is open. Press × to acknowledge the current reminder; the overdue status stays until the task is completed or rescheduled. The header Overdue view shows the to-do list, item and due date/time. The To-do toolbar's Overdue button filters the current list.
These are in-app reminders, not operating-system push notifications while the app is closed.
